Primary Function
The executive assistant for the American Catholic Historical Society enables ACHS to achieve its strategic goals. The part-time executive assistant ensures the routine functioning of the organization in cooperation with the ACHS board. The executive assistant exhibits understanding and support of the mission and vision of ACHS in personal conduct and management of others.
The executive assistant is directly responsible to the president of the ACHS board.
Major Responsibilities
- Identify, collect, and systematize information from and facilitate the communication between the various committees of the American Catholic Historical Society Board (e.g., prepare minutes and assist in the writing and collating of reports from committees)
- Assist the president and the corresponding and recording secretaries
- with the preparation and dissemination of materials in advance of board meetings- timely dispersal
- with the follow-up to board meetings: completion of minutes, filing of documents ( electronic and other wise) , track needed next steps
- Support effective communication systems for ACHS – ensuring branding/ messaging
- Assist the programming and public outreach committee with dissemination of information about events, news, newsletter, announcements
- Support coordination and timely use/update of website, social media ( twitter, Facebook, etc.) in conjunction with board committees and other designated persons
- Maintain updated data base for membership
- Staff fundraising efforts and routine events
- Major events such the Barry Dinner
- Routine events ( lectures, socials, etc.,)
- Regular fundraising such as annual appeal, Giving Tuesday
- Support internal financial record keeping in conjunction with treasurer for expenses, billing cycles, etc.
- Assist the house manager with maintaining the Society’s headquarters such as surveying the house and property, coordinating repairs and improvements,etc.
- Provide for organization of ACHS materials on site
- Other duties assigned
Qualifications:
- Proven experience as executive assistant; “self-starter”
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Discretion and confidentiality
- Strong technology skills with programs such: MS Office, Zoom, Social Media
- High School degree: additional office credentials a plus
Physical Requirements and Work Environment:
- Stair climbing in historic house building
- Driver’s license/ driver
Salary:
- $25 per hour (negotiable)
- 15-20 hours per week (average)
